CalConnect RoundtablesRoundtables are "all-hands" member events sponsored by the Consortium. Members may send as many representatives as they wish, although there is usually a maximum number of attendees established by the venue. Registration for Roundtable events is first-come, first-served. Attendance at Consortium Roundtables is generally limited to Consortium member representatives; however, a prospective member may send one or more Observers to a single Roundtable to determine whether or not it wishes to join. Observers pay the same registration fee as regular participants and may participate in all Roundtable activities, but may not vote. The Consortium plans its Roundtable events to occur three times a year, roughly the first full week in February, June, and October. The timing is deliberately approximately midway between IETF meetings, with the intent that the meetings may help to "drive" one another. Roundtables last for 2 days (scheduled across three calendar days; see below). The general format of a CalConnect event week is as follows; specific schedules and topical agendas for each event are posted on that event's logistics page. This schedule (Monday through early afternoon Friday) allows for up to a half-day to be added a Roundtable if needed without changing the overall shape of the week. Optional sessions such as practicums, demos, and an introductory Q&A for new attendees will be held Wednesday morning prior to lunch. Opportunities for BOFs and informal chats are built into the schedules for both the IOP Test Event and the Roundtable. The Consortium provides breakfast, lunch and breaks throughout the week. Additionally, the Consortium provides a dinner for IOP Test Event participants and observers on Monday; a reception on Wednesday evening, and a group dinner on Thursday evening. Registration in advance is required for all individuals participating in Consortium Roundtables. The fee covers all costs associated with the venue and providing Consortium support. In addition the fee covers breakfast, lunch and morning and afternoon breaks (no afternoon break on the last day), plus the social event the second evening of the Roundtable.
